Setting up an Email Signature

Notice: You must have a Highlight Office 365 account to proceed.

SBA EMPLOYEES: PLEASE FOLLOW INSTRUCTIONS FOR "OUTLOOK WEB APPLICATION"

Contains: How to set up your Highlight email signature on the Outlook desktop application and Outlook web application. 

Outlook Web Application

  • 1) Open a web browser and navigate to https://outlook.office.com. Sign in with your Highlight Email account when prompted.
    • PLEASE NOTE: You cannot access your Highlight email from an SBA provided laptop or VDI.
  • 2) Navigate to the right side of the page and click the gear icon.

  • 3) Click Mail Compose and Reply

     

  • 4) Use the signature template below and paste the signature block. The Highlight logo may not paste correctly. Adjust the size accordingly. 
     
  • 5) Select the signature you created for both new messages and Replies/Forwards

 

Outlook Desktop Application 

  • 1) Open Microsoft Outlook and click on File at the top left-hand corner

  • 2) On the left side panel, click on Options

  • 3) Click on Mail then Signatures

  • 4) Click on New and create a name for the signature.

 

  • 5) Under Choose default signature select the title of the email signature you just created. In this example, Standard Signature.
    • E-mail account – Select your Highlight or Government email address. In this example, [email protected]
    • New messages and Replies/forwards should both have the name of the signature you just created. In this case, Standard Signature.

 

  • 6) Using the signature below, copy and paste it along with the logo in the Edit signature section. Make sure to adujust the Highlight Logo accordingly and change the values to your own name, job title, etc.  Mobile/ Office number are optional and can be excluded.

You may tailor as needed to reflect a Highlight and government site email address, or any other special information. To save, click OK.



 

New Outlook Desktop Application

  • 1) Navigate to the right side of the page and click the gear icon.

  • 3) Click Accounts Signatures

     

  • 4) Use the signature template below and paste the signature block. The Highlight logo may not paste correctly. Adjust the size accordingly. 
     
  • 5) Select the signature you created for both new messages and Replies/Forwards

 

  • Signature

  • Copy the following email signature template by either: 
    • Select text + right click (mouse) + "Copy"
    • Select text +  Ctrl+C
